Using Scheduled Publishing Functionality

PROCESS:
To schedule an article to publish at a future time:
- From within the KB Admin Control Panel, select the article you wish to schedule.
- Click New Version.
- Select Published from dropdown menu.
- Note there are two timeline options for Change Status: Now and a date select dropdown. Click the radio button next to the date select dropdown.
- Choose the date you wish the article to be published.
- Click Save.
Note that there is now a column for "Scheduled" in the article version display. This column will display the date and time of the scheduled status change and will be very useful to you when performing any of the following steps. Here's what it looks like:
How do you unschedule the article?
Please note: you cannot cancel a scheduled status change, but you can adjust the status applied to the article at that time. The best way to unschedule publishing is to change the action which will occur at the scheduled time (for example, change to Draft instead of Published).
To do so:
- From within the KB Admin Control Panel, select the article you wish to change.
- Click the date and time in the scheduled column.
- Select the workflow step you'd like the article to be when the scheduled time occurs.
- If you do not wish this version of the article to be published, you should choose the appropriate NON-published workflow step.
- Click Save.
This will return you to the article version display page. Note that the scheduled time and date have not changed, but if you hover the mouse over the time and date in the Scheduled column, it will show you the workflow status the article will move to at that time. Ensure it is the one you want the article to move to.
Can you set an expired article to later re-publish using scheduled action?
Yes you can:
- From within the KB Admin Control Panel, select the expired article you wish to re-publish.
- Click "Expired" in the Status column. This will open the Article Version Status page.
- From the Status dropdown menu, choose Published.
- Note that the Change Status option appears again.
- Click the radio button next to the date select dropdown and select the date you wish the article to publish.
- Click Save.
What if the wrong version of an article was selected for future publishing?
You will need to ensure that the incorrectly selected version is scheduled to move to a non-published workflow step and that the intended version is scheduled to move to Published. Ensure that both are scheduled for the same date. This will ensure both scheduled events occur and the correct version will be published.
